Choose the customer question before setting the content goal

Start by selecting one question customers face when learning about, comparing, or purchasing products, and express the content goal as a task the reader needs to complete. Sales and customer service feedback can provide leads, but distinguish isolated inquiries from recurring needs instead of turning every question into a topic. AI can help organize questions and materials; topic selection should still reflect the company’s available information, customer tasks, and publishing channels.

For example, suppose customers frequently ask how to choose between two products. First check whether existing pages explain the differences, then decide whether to update an existing page or create a separate comparison. Acceptance should depend on whether readers can find the basis for comparison, the applicable conditions, and a route to further consultation. If the available materials cannot support the comparison, clarify the details with the product owner first. Do not let a draft supply unconfirmed differences or treat the number of new articles as the completion criterion.

Clarify the scope of materials and permission to use them

Organize product information, existing content, brand voice guidance, and channel requirements around the selected question. Label materials with their owner, version, and public disclosure permissions, and retain the original files. Materials handed to the creative team should specify what may be cited and what still needs verification. When personal information, customer files, or unpublished materials are involved, follow the company’s approved tools and handling rules rather than omitting these restrictions for production convenience.

For example, suppose the team receives both an old product introduction and a new document that has not been made public. Ask the relevant owner to confirm which version and scope may be used before production begins. The handoff meets its acceptance conditions when editors can trace the source of facts they intend to cite and identify which materials may be made public. Hold back any material whose permissions or version remain unclear. When essential information is missing, list clarification questions first instead of asking AI to fill in business facts.

Use a task brief to guide exploration and production

For each piece of content, specify the target reader, question to resolve, available evidence, limits of applicability, next-step action, and content owner. Use these details to guide the outline, draft, and visual concepts. AI can help summarize interviews, organize the structure, or refine wording, but retain the brief, prompts, reference files, and output versions for each round of exploration. Change only a few variables per round so the team can compare differences resulting from adjustments to the audience, context, composition, or tone.

For example, suppose a product explanation will be used in two channels. Keep the confirmed product facts, adjust the information hierarchy and presentation for each channel, and compare the options within their respective media. Select candidates according to whether they address the same customer task and fit the required dimensions and reading context. If the brief lacks evidence or a defined scope of applicability, return to the source materials to fill those gaps. Avoid generating large numbers of similar versions or choosing a final version solely on internal preferences.

Turn fact review and final asset checks into specific checks

Editors and business staff should check facts, quotations, numbers, case permissions, and brand voice against their sources. Significant specialist content should be reviewed by the appropriate owner. Visual content also requires individual checks of text, logos, model numbers, actual product features, and image sources. Include details that require manual correction in the changes to complete before delivery, so generated pseudo-text or invented features do not enter the final asset.

For example, suppose a product model number in a proposed poster differs from the approved materials. Even if the composition has been accepted, correct the model number and check the related text again. If image permissions cannot be traced, hold publication until the records are complete. This stage passes when the facts intended for publication have supporting evidence, the conditions for using materials are clear, and specialist content has received the relevant review. Remove unsupported numbers and conclusions or leave them pending verification; do not conceal information gaps with more confident wording.

Check acceptance against reader tasks and assign ongoing maintenance

Before publication, ask someone who was not involved in production to read or use the content according to the target task. Record their understanding, mistaken judgments, and unresolved questions. For example, suppose an article is intended to help customers compare products. Ask the reader to explain the basis for choosing and the limits of applicability, then have the business owner check whether that understanding matches the source materials. After revisions, repeat the same task. If key questions still cannot be answered, add content or revise the brief, and check that the channel, audience, and publication date align.

At publication, identify the content owner, correction channel, responsibilities for handling comments, and review date. Tell relevant colleagues which version is final and under what conditions it may be used, and retain supporting materials, feedback, and approval records. Use the quality of customer inquiries and content feedback to adjust future topics rather than substituting a single traffic count for business judgment. If product information changes, for example, check the affected pages and assets and arrange updates. The relevant company owners should confirm business facts, material rights, specialist review, and responsibility for final publication.
