How can a diversified group align its brand communications in the AI era?
Connect headquarters and business teams through shared facts, clear brand relationships and defined levels of responsibility, while allowing room to tailor communications to different customers.

Alignment does not mean making every piece of content identical
Different businesses within a group may serve different customers, offer different products and operate in different regions. AI tools make it easier for teams to create their own content, while increasing the risk of inconsistencies in names, facts and visual versions. The goal of aligned communications is to help readers understand the relationships within the group and what its businesses actually do, rather than requiring every team to copy the same introduction.
A brand forum at CES 2025 discussed how brands can remain distinctive as similar content becomes more common. Building on this public discussion, this article explores content governance for corporate groups; the relevant company representatives must confirm the specific operating entities and their authority.
Start by mapping the relationships between brands, legal entities and businesses
Compile the names of the group brand, subsidiaries, product lines and service teams, along with their actual relationships as presented on websites, in contract descriptions, in product materials and in customer communications. Brand endorsement cannot substitute for identifying the operating entity and responsibility for service delivery; the work undertaken by different companies should be clearly distinguished.
Record common customer misunderstandings, such as uncertainty about which team provides a product or the assumption that a regional service is available nationwide on the same terms. Use real questions to assess naming, pages and contact points, rather than looking for answers solely in internal organizational charts.
For trademarks, partner logos and customer case studies, confirm the actual usage rights and what may be made public. Content without authorization or a factual basis cannot be used simply because a model generated it.
Establish shared facts and adaptable content
Headquarters and business teams can jointly maintain names, product versions, business scope, important statements and the people responsible for source materials. Product teams should verify product specifications, while business and delivery leads should confirm service coverage and scope. Where conditions vary by region, retain the details of where they apply.
Beyond the shared facts, teams can adapt case selection, content depth, channel formats and language for different readers. Materials for buyers may need to set out conditions for comparison, while instructions for users may need step-by-step guidance, but the two must not present contradictory facts.
Provide AI content creation tools with approved briefs and reference materials, and specify claims that must not be used. Generated content still needs to be reviewed by people familiar with the business and brand, particularly model numbers, customer names, figures and capabilities that have not yet been achieved.
When collaborating across departments, first establish an authoritative source for each fact, rather than asking every team to keep a separate copy that may become outdated. For historical versions that must be retained, identify the business to which they apply and when they were confirmed, so users can judge whether they are suitable for current content.
Define responsibilities for approval and updates
Divide the rules into three categories: elements that must be consistent, elements that can be adjusted within defined limits, and elements that require further confirmation. Assign reviewers for business scope, qualifications and project facts that affect customer decisions. Routine layout changes that do not alter facts can follow the company's existing standards.
Record the version of the facts referenced in each piece of material, the person responsible and the channels where it is used. After a product update or a change in a subsidiary's responsibilities, confirm the authoritative information first, then review the website, sales documents, customer service responses and partner materials. If information cannot be verified immediately, mark it as pending confirmation or suspend its use.
Materials for different languages and regions need to be checked separately. Delivery and support conditions in one region may not apply to other markets, and translation cannot replace confirmation by the relevant business team.
Start with one business unit
Choose a business with complete documentation and connect the group introduction, product pages, sales presentation and inquiry channels. Ask people unfamiliar with the group's structure to identify who provides the product, which conditions apply and how to make contact. Record misunderstandings, then confirm revisions with the relevant teams.
After the pilot, retain the fact register, naming rules, review responsibilities and unresolved issues, and expand to other businesses based on feedback. Qingmei Future can assist with brand architecture and content experience design; the company must confirm its actual organizational relationships, authorizations and service scope.
The group can select factual product materials that have been authorized for use and check whether outputs from different teams use consistent names and conditions. If conflicts arise, return to the person responsible for the facts for confirmation, rather than simply letting the model automatically choose the answer that appears more complete.
